This Privacy Policy explains how our Discord bots (individually and collectively, “the Bot,” “we,” “us,” or “our”) collect, use, store, and protect information when a Bot is added to and used within a Discord server (“Server”). All Bots covered by this Policy share the same underlying codebase, infrastructure, and data practices described below. This Policy applies to all users who interact with any of our Bots, including members of Servers where a Bot has been installed by a Server administrator (“Client”).

By using a Bot or being present in a Server where a Bot is active, you acknowledge the practices described in this Policy.

1. Who We Are

Our Bots are developed and operated by Imber Development, based in Finland. For privacy inquiries, you can contact us at support@imber.dev or via our support server: /discord.

Note: Our Bots are licensed to Server administrators (“Clients”) who install them in their own Discord servers. We are the data controller/processor for the technical data described below, regardless of which Bot or Server is involved.

2. Information We Collect

To provide its features, a Bot may collect and process the following categories of data:

Discord Account & Server Data

  • Discord User ID, username, and discriminator/tag
  • Server (Guild) ID, channel IDs, and role IDs
  • Server join/leave timestamps, invite codes used
  • Avatar URL (as provided by Discord’s API; not stored as an image file)

Message Content (only where the Bot’s features require it)

  • Message content processed for moderation (e.g., filtering, spam detection)
  • Message content sent to the AI chat, edit, or translate features
  • Message counts used for leveling/XP calculations (content itself is not retained for leveling — only counts/timestamps)

Feature-Specific Data

  • Economy balances, inventory, and transaction history
  • Leveling/XP totals and rank data
  • Ticket transcripts (created when a member opens a support ticket)
  • Giveaway entries
  • Game scores/history
  • Voice channel activity timestamps (for music feature session management only; audio is not recorded)

Technical Data

  • Command usage logs, error logs, and timestamps (for debugging and abuse prevention)

Not all features are available on every Bot; only data relevant to the specific Bot(s) you use is collected. We do not collect Discord passwords, payment information from Server members, private messages outside a Bot’s designated channels, or data unrelated to the features listed above.

3. How We Use Information

We use collected data to:

  • Operate core features (moderation, tickets, leveling, economy, giveaways, music, games)
  • Process AI chat, message edit, and translation requests
  • Maintain leaderboards, balances, and user-facing stats
  • Detect and prevent abuse, spam, or violations of Discord’s Terms of Service
  • Troubleshoot errors and improve reliability
  • Respond to support requests

We do not sell member data, and we do not use message content to build advertising profiles.

4. Third-Party Processing

Certain features send limited data to third-party services solely to provide that feature:

  • AI Chat / Translate / Edit features: the message text and a user identifier are sent to a third-party AI processing service to generate a response. This service processes the request and returns a result; we do not control that provider’s independent retention practices, and recommend not sharing sensitive personal information through AI-powered commands.
  • Hosting/Database providers: data is stored on infrastructure operated by Cyclone Servers.

We only share the minimum data necessary for these services to function.

5. Data Storage & Security

  • All member data stored in our database is encrypted at rest. Backups are likewise encrypted and are not readable without our decryption keys/system.
  • Access to production data is restricted to the Bot operator.
  • While we take reasonable technical measures to protect data, no system is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

  • Data is retained for as long as a Bot remains active in a Server, or as long as needed to provide the relevant feature (e.g., economy balances, leveling stats).
  • If a Bot is removed from a Server, associated Server-level data is deleted or anonymized within 30 days, except where retention is required for legal or security purposes.
  • Ticket transcripts are retained for 90 days after ticket closure, unless a Client requests earlier deletion.
  • Individual users may request deletion of their own data at any time (see Section 8).

7. Your Rights (EU/EEA Users — GDPR)

If you are located in the European Union or European Economic Area, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate data
  • Erase your data (“right to be forgotten”)
  • Restrict or object to certain processing
  • Data portability — receive your data in a portable format
  • Withdraw consent at any time, where processing is based on consent

To exercise these rights, contact us at support@imber.dev or through our support server. We will respond within the timeframe required by applicable law (generally 30 days).

Users outside the EU/EEA may contact us with similar requests, which we will honor on a best-efforts basis.

8. Requesting Data Deletion

To request deletion of your data, contact us via our support Discord server at /discord so we can process your deletion request. Please include your Discord User ID and the Server(s) involved.

Some data may be retained briefly for security, fraud-prevention, or legal-compliance purposes even after a deletion request.

9. Children’s Privacy

Discord’s own Terms of Service require users to be at least 13 years old (or the applicable minimum age in their country). We do not knowingly collect data from users below this age. If we become aware that we have inadvertently collected data from an underage user, we will delete it promptly.

10. Server Administrators (Clients)

Server administrators who install a Bot are responsible for informing their members that the Bot is active and for linking to this Privacy Policy where required by Discord’s guidelines. Administrators may have additional access to certain in-Bot data (e.g., moderation logs, ticket transcripts) as part of standard moderation tooling.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced via our support server and/or a Bot’s changelog. Continued use of a Bot after changes take effect constitutes acceptance of the revised Policy.
